The selection rule
For every line item, provide a reference ID, application, required construction or performance, quantity and unit, destination, and any mandatory document or packing requirement. Keep uncertain fields visibly open for technical review.
Project-level information to send once
Project-level fields help the supplier interpret every BOM line consistently and flag conflicts before quotation.
- Project type, topology, site count and installation environment.
- Destination country or region and requested standards or tender clauses.
- Target delivery window, shipping destination and preferred Incoterm if known.
- Required language, labels, packing marks, submittals and approval workflow.
- Whether alternatives are prohibited, permitted with approval, or requested.
Fields required for each BOM line
Use one line per configuration. Do not combine different lengths, connector types, jackets or label requirements under one quantity.
| Column | What to enter | Example |
|---|---|---|
| Item ID | Buyer reference that stays stable | C-101 |
| Application | Where and how the item is used | Horizontal access link |
| Specification | Category, fiber grade, interface or construction | Cat6A S/FTP LSZH |
| Configuration | Length, color, polarity, port/core count or size | 3 m, blue, snagless |
| Quantity / unit | Count with unambiguous unit | 1,200 pcs |
| Evidence | Datasheet, test or certificate scope required | Quoted SKU datasheet |
| Packing / label | Private label, reel, carton or project tag | Buyer label + carton mark |
Run a gap review before comparing prices
A lower quotation may reflect a different conductor, jacket, loss class, accessory set or evidence scope. Normalize open fields before comparing totals.
| Check | Question to resolve |
|---|---|
| Technical equivalence | Are material, construction, performance and accessories equal? |
| Commercial equivalence | Are MOQ, tooling, sample, packing and documentation included? |
| Delivery equivalence | Are lead time, Incoterm, shipment split and destination equal? |
| Evidence equivalence | Does each document apply to the quoted entity, series or SKU? |
